Make data flows understandable.

We identify applications, categories of data and the people responsible for each component. For an AI service, application hosting and processing by a model provider are examined separately. This map supports discussions about necessary transfers, retention periods and third-party dependencies.

Define access and technical choices.

Permissions start from actual responsibilities: reading a document, changing information and administering accounts are different needs. We define these rules and their application to the relevant components. Storage, hosting and integration choices take your technical constraints and stated requirements into account.

Prepare operations and checks.

An architecture must remain understandable and operable after launch. We define the access checks and technical controls in scope, then document the planned operations. Depending on the project, these include configuration management, diagnostics, backups and service recovery steps.

Does all data stay in one country?

That depends on the chosen components and providers; it should not be assumed. A service hosted in one country may call a provider that processes information elsewhere. We distinguish these flows to document the chosen scope and review your requirements before connecting services.

How do you avoid giving AI excessive permissions?

We define which sources and actions each use case requires. Document search does not necessarily need permission to change data. Where actions are possible, access rules and human approvals are designed into the workflow and tested against the planned situations.

Do we need to rebuild our entire infrastructure?

Assessing the existing environment helps identify which changes are necessary. It may be enough to adjust permissions, isolate a new component or update a connection. Larger changes should be justified by observed constraints, with their consequences for users and operations clearly explained.
